Outlook: Send and Receive an Encrypted Email

Overview

This document will show you how to encrypt emails containing sensitive and/or confidential information.  i.e., Personal Identifying Information (PII), credit card information, etc

This document also illustrates viewing procedures when receiving an encrypted email.

Encrypting an Email

To encrypt an email, simply add the following encryption keyword to the body of your email message as shown below:

!SUNYEmailEncryption!


This will indicate to the email client after you hit send to encrypt the outgoing email message.
 

Viewing the Encrypted Email

1.  The recipient of your Encrypted Email will receive the email below:

2.  Recipient will need to open the attachment

3.  Recipient will need to choose how they would like to view the Encrypted Email:


a.  If the recipient chooses Sign In, they will be prompted to create a Microsoft Account if they do not already have one.



Microsoft Account Creation:  You will need to fill out all of the fields below as prompted, to create the Microsoft Account.

     

     



Once the Microsoft Account has been created the recipient will see the following:

Now the recipient can go back to the original email and open the attachment and select Sign In.  The email will then open.

Work or School Account:  Recipient can Sign In with current Microsoft Account.

Once the recipient enters their password the email will open.
 

b.  If the recipient chooses Use a one-time passcode, the passcode will be sent to their email address.  There will be an option to view the email for 12 hours using that one-time passcode.

      


Once the recipient enters the One-time passcode and selects continue, the email will open.
