Summary

Guide for the usage of Cisco desk phones in use at System Administration

Overview

Use the reference list below to utilize the office desk phone.  The list covers making calls, accessing voicemail, voicemail functions, and call transports.

Dialing Patterns

Internal Calls: 0 + 4 digit extension (e.g. 0-1208) or 10 digit number (e.g. 518-320-1208)

Local and Long Distance: 10 digit number (e.g. 518-555-1234)

800 Numbers: 10 digit number (e.g. 800-555-1234)

Emergency: 911

International: 0 + 011 + Country Code + Local Number + #  (e.g. 0-011-44-0-20-7730-1234#)
    Note – International Dialing privileges have to be requested for a particular line; by default it is not enabled.

Voicemail Access

Internal Phone: Select appropriate line, then press the “Messages” button. Enter PIN code when prompted and press #.

External Option 1: Dial 518-320-1101. Once connected press the * key. Enter your ID, which is your full 10 digit number, press #. Enter your PIN code when prompted and press #.

External Option 2: Dial 518-320-1104. Enter your ID, which is your full 10 digit number, press #.   Enter your PIN code when prompted and press #.

Voicemail Functions

    Note – First connect to the voicemail system; refer to the previous Voicemail Access section.

Listen to Messages: Follow the system prompts for desired actions on a message. (e.g. Press 3 to delete)

Change Greetings: After access, Press 4 to enter setup options, Press 1 to enter the greetings menu, follow the system prompts to select, change, or record greetings.

Change PIN*: After access, Press 4 to enter setup options; Press 3 to enter preferences; Press 1 to change PIN, follow prompts to complete.
    *Note - New PIN must be at least 5 digits with non-repeating numbers (e.g. 22233 is not valid)

Call Transports

Forward All Calls*: Press the “CFwdALL” softkey; dial the 10 digit number to be forwarded to.
    To End Forward: Press the “CFwdALL” softkey a second time.
        Note – Only forwards calls on the first number listed on the phone.

Forward All Calls to Voicemail*: Press the “CFwdALL” softkey, then press the “Messages” button (or dial 5183201101)
    To End Forward: Press the “CFwdALL” softkey a second time.
        Note – Only forwards calls on the first number listed on the phone.

Transfer a Call: When on active call, press the “Transfer” softkey; dial the 10 digit number (or 0+4 digits for internal) of the line you wish to transfer to, and then press the “Transfer” softkey a second time.

Three Way Call: First, connect with the first caller. Once on the line, press the “Confrn” softkey.   Dial the next participant.  Once connected with the second caller, press the “Confrn” softkey a second time to join the calls.  To remove the last participant Forward: Press the “RmLstC” softkey
