Overview

Using delegates in Teams is how you are able to share your line with an additional user, similar to how you would share your e-mail with users in Outlook, including level of permissions any particular delegate should have. In Teams calling this process is handled by individual users themselves within their Teams client and does not require an administrator to intervene. 

Note: If you only occasionally need someone else to answer your line, setting up a call group is a better option.

Guide

The steps below will guide you through the process of adding a Teams Calling Delegate

  1. In your Teams client, locate the "..." icon along the top bar. If you hover over the icon it will read "Settings and more"Uploaded Image (Thumbnail)
     
  2. Click on the icon to expand the menu, then select "Settings"Uploaded Image (Thumbnail)
     
  3. The setting screen will open up, on the left side of the screen, locate and click on the "Calls" menuUploaded Image (Thumbnail)
     
  4.  In the right pane, scroll down and locate the section "Manage Delegates" and select "edit"Uploaded Image (Thumbnail)
     
  5. On the "Manage Delegates" screen, begin typing the name of the person you would like to add as a delegate, then select their name from the dropdown.Uploaded Image (Thumbnail)
     
  6. They will be added under the "Your delegates" section here you can also select what permissions the person should have on your lineUploaded Image (Thumbnail)
     
    • Make calls - The delegate will be able to make outgoing calls using your name/number
    • Receive calls - The delegate will be able to answer your incoming calls
    • Change call and delegate settings - The delegate will be able to completely adjust your call settings including adding and removing other delegates. This is a very powerful option and should be considered if it is appropriate for the delegate to be able to do this before granting.
    • Pick up held calls - The delegate will be able to pick up calls that you have placed on hold
    • Join active calls - The delegate will be able to join in progress calls without needing to be added to the call. This again is a powerful option and should be considered carefully before applying.
  7. Under the main "Calls" setting page, change the "When you receive a call" setting to "Also ring delegates" Uploaded Image (Thumbnail)

At this point, the added person is now a delegate with the permissions you have applied. You can return to this screen to adjust their permissions or to remove them by clicking on the trash can icon. ​​​​​​
