How to set up and use a call group with Teams Calling to temporarily forward your lines to a group of people

Overview

Using Call Groups in Teams allows you to set up a group of individuals (that also have Teams Calling within our System Administration tenant) that you can temporarily forward calls to. A common usage would be to forward to other members of your office when you are on vacation.   

Note: If you are looking for a method to have an individual to always have access to your line, consider setting them up as a delegate

Guide

The steps below will guide you through the process of setting up a Call Group

  1. In your Teams client, locate the "..." icon along the top bar. If you hover over the icon it will read "Settings and more"

  2. Click on the icon to expand the menu, then select "Settings"

  3. The setting screen will open up, on the left side of the screen, locate and click on the "Calls" menu

  4.  In the right pane, scroll down and locate the section "Manage call group" and select "Add a call group"

  5. On the "Manage call group" screen, begin typing out the names of the people you would like in the call group and select them from the dropdown list.Uploaded Image (Thumbnail)
     
  6. You will see the people you added below in the "Group members" areaUploaded Image (Thumbnail)
     
  7. Once you have added more than one person, you will have the option to choose how the group will be called. You can choose either to ring "Everyone at once" or "In the order below", if choosing the latter you are able to rearrange the list to the order you would like. Members would then be called sequentially till one picks up. If no one from the call group picks up the call, it will revert the call to your voicemail. Uploaded Image (Thumbnail)
     
  8. Now that you have a call group established. From the main Teams calling screen, you can quickly select the call group as an option under the forwarding menuUploaded Image (Thumbnail)

 

You can adjust your call group by repeating the steps above either adding or removing other members as needed.
